This policy explains what information Venus Women’s Wellness Clinic collects through this website, why, how we keep it safe, and your rights under India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”).
Who we are
Venus Women’s Wellness Clinic is the “data fiduciary” for the personal data described in this policy. That means we decide why and how your data is used, and we are responsible for protecting it.

What information we collect
When you use the appointment booking form on this website, we collect:
- your name
- your phone number
- your email address, if you provide it
- your preferred date and time for the appointment
- the message you write, which may include details of your health concern
Please do not send ID documents, payment details or medical reports through the form; these can be shared in person at the clinic if needed.
Why we use it
We use the information you submit only to:
- schedule, confirm, reschedule or cancel your appointment
- reply to your enquiry and contact you about it
- prepare for your consultation, so the doctor understands your concern
We do not use your enquiry for advertising and we do not send marketing messages without asking you first.
Your consent
The booking form includes a consent checkbox. By ticking it and submitting the form, you agree that we may use your information for the purposes listed above. You can withdraw your consent at any time (see “Your rights” below). Withdrawing consent does not affect anything we did lawfully before you withdrew it, but we may not be able to schedule an appointment without your contact details.
Where your data is stored
Form submissions are stored in Google Workspace, in a Google Sheet that belongs to the clinic. Access is limited to clinic staff who need it to manage appointments, and accounts are protected with passwords and access controls.
Clinical records created when you visit the clinic, such as consultation notes, prescriptions and test reports, are kept separately as medical records.
How long we keep it
- Enquiries that do not turn into a visit are kept for up to 12 months and then deleted.
- If you become a patient, your clinical records are kept for as long as medical record-keeping rules and professional guidelines in India require.
- We may keep information longer only if the law requires it or it is needed to resolve a dispute.
Who we share it with
We do not sell, rent or trade your personal data.
We share data only with:
- Service providers who help us run the website and booking system, such as Google (for Google Workspace and Sheets) and our website hosting provider. They process data on our behalf and are not allowed to use it for their own purposes.
- Authorities, when we are required to do so by law, a court order, or a lawful request from a government body.
Analytics and cookies
This website uses privacy-friendly, cookieless analytics to understand overall visits, such as which pages are viewed most. It does not use advertising cookies or tracking cookies, and it does not build a profile of you. Any analytics data is aggregated and is not used to identify individual visitors.
Your rights
Under the DPDP Act, you have the right to:
- Access: ask for a summary of the personal data we hold about you and how we use it.
- Correction: ask us to correct or update information that is wrong or incomplete.
- Erasure: ask us to delete your data when it is no longer needed for the purpose you gave it, unless we must keep it by law (for example, medical records).
- Withdraw consent: tell us you no longer want us to use your data.
- Grievance redressal: raise a complaint with us and receive a response.
- Nominate: nominate another person to exercise these rights on your behalf in case of death or incapacity.
To use any of these rights, write to us at the email below. We may need to confirm your identity before acting on a request.
Grievance contact
If you have a question or complaint about how your data is handled, please contact:
- Grievance contact, Venus Women’s Wellness Clinic
- Email: pune@venuswomensclinic.com
- Phone: 8999106755
We will acknowledge your message and try to resolve it promptly. If you are not satisfied with our response, you may approach the Data Protection Board of India once it is available to you under the DPDP Act.
Children
The booking form is meant for adults. If an appointment is for a girl under 18, a parent or legal guardian should fill in the form and give consent on her behalf, and should accompany her to the consultation. We do not knowingly collect data directly from children without a parent’s or guardian’s consent.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed.
